Identification: It is your responsibility to ensure that all identification and travel documents (e.g., visas, passports) are valid for the duration of your trip. Failure to provide accurate and valid identification may result in denied boarding, accommodation, or other travel services, for which Lluxe Escapes assumes no liability.

Payment and Refunds: All payments made to Lluxe Escapes are non-refundable. This policy is in place due to our contractual agreements with hotels, airlines, and other service providers, which prevent us from securing refunds on behalf of our clients. Once a booking is confirmed and payment is processed, no refunds, credits, or transfers will be issued, regardless of the circumstances.

Passport and Visas: It is the responsibility of each traveler to ensure they possess a valid passport and obtain any required visas or travel authorizations for their destination(s). Passports must be valid for at least six (6) months beyond the intended return date, and some countries may require blank visa pages. Lluxe Escapes is not responsible for any delays, cancellations, or additional costs resulting from incomplete or incorrect travel documentation. Travelers are advised to check with the appropriate consulates or embassies well in advance of travel for the most current entry requirements. Failure to obtain proper documentation does not entitle the client to a refund or compensation

Travel Insurance: Lluxe Escapes strongly recommends that all travelers purchase comprehensive travel insurance to protect against unforeseen events that may impact their trip. Travel insurance can provide coverage for trip cancellations, delays, medical emergencies, lost or delayed baggage, and other travel-related risks. It is the traveler’s responsibility to review and understand the terms, coverage limits, and exclusions of their chosen travel insurance policy. Lluxe Escapes is not responsible for any losses, damages, or expenses incurred due to a traveler’s decision to decline travel insurance or insufficient coverage. Please consult with a qualified insurance provider or inquire with us to select a policy that best suits your needs.

Travel Documents: All hotel prices and airfares provided by Lluxe Escapes are based on current rates at the time of booking and are subject to change without prior notice. Prices may fluctuate due to factors beyond our control, including currency exchange rates, airline fuel surcharges, taxes, changes in hotel or airline policies, seasonal demand, and availability. Quoted prices include only the services specified in the booking confirmation. Additional charges—such as resort fees, baggage fees, seat selection, meals, room service, and other incidental expenses—are the traveler’s responsibility and must be settled directly with the hotel, airline, or service provider. Lluxe Escapes is not responsible for price increases, schedule changes, or cancellations made by hotels or airlines after booking confirmation. All passengers will be notified via email if there will be a price changes. A full refund will be made to passengers who choose not to pay an increase after three (3) days of notice.

Payments and Cancellation

Deposit: All deposits paid to Lluxe Escapes are non-refundable. The deposit is required to secure bookings with hotels, airlines, and other service providers, many of which have strict non-refundable policies. By submitting a deposit, you acknowledge and accept this condition.

Full Payment: All reservations with Lluxe Escapes may be paid in full at the time of booking, provided that the selected tour or service still has available space. Full payment at booking ensures immediate confirmation of your reservation. Availability is subject to change and is not guaranteed until payment is processed and a booking confirmation is issued. In the event that space is no longer available at the time of payment, you will be notified, and alternative options will be offered where possible. We recommend booking early to secure your preferred tour dates and accommodations.

Late Payment: All payments to Lluxe Escapes must be made by the specified due date outlined in your booking confirmation. A late payment charge of $200 will be applied to any payment not received by the due date. Failure to make timely payments may result in the cancellation of your reservation, forfeiture of any paid deposits, and the application of additional cancellation fees as per our policies. To avoid late fees and potential booking disruptions, we strongly recommend adhering to all payment deadlines. If you anticipate difficulty in meeting a payment deadline, please contact us as soon as possible to discuss available options.

Reinstatement of Reservation: If your travel reservations with Lluxe Escapes have been canceled and you notify us within 14 days of the cancellation that you wish to reinstate them, a service reinstatement fee of $250 will be applied to your invoice. This fee must be paid in full prior to any attempt to reconfirm services with our providers. Reinstatement of reservations is subject to availability and is not guaranteed. Lluxe Escapes will make every effort to restore your original booking; however, alternative accommodations, flights, or services may be offered if the original options are unavailable. Any price differences resulting from changes in availability or rates will be the traveler’s responsibility. We encourage prompt communication to maximize the chances of successfully reinstating your reservation.

Form of Payment: Lluxe Escapes accepts all major credit and debit cards as forms of payment. To complete your transaction, you will be routed to a secure Stripe payment link. Payments can be made directly through Stripe’s platform, ensuring a safe and seamless process. By submitting payment through Stripe, you agree to comply with Stripe’s Terms and Conditions. Lluxe Escapes does not store or have access to your full payment details, ensuring your financial information remains secure. Please ensure all payment information is accurate to avoid processing delays.

Refunds: All payments made to Lluxe Escapes are non-refundable and non-transferable, regardless of the reason for cancellation, modification, or no-show. This policy is in place due to binding contractual agreements with hotels, airlines, and other service providers that do not permit refunds or transfers once bookings are confirmed.

Travelers with Disability
Lluxe Escapes is committed to assisting travelers with disabilities to the best of our ability. However, it is the traveler’s responsibility to inform us of any physical or mental disabilities, mobility limitations, or special needs at the time of booking. This information is necessary to assess the feasibility of accommodations and services that meet individual requirements. While we will make reasonable efforts to accommodate special needs, Lluxe Escapes cannot guarantee that all destinations, transportation providers, accommodations, or activities will be fully accessible to travelers with disabilities. Many of our third-party service providers, including airlines, hotels, and tour operators, operate independently and may have varying accessibility standards.
Travelers requiring special assistance, including mobility devices or personal care, must travel with a qualified companion who can provide the necessary support. Lluxe Escapes staff and tour guides are not permitted to offer personal care services. Wheelchairs and Walkers
Pursuant to the Americans with Disabilities Act (ADA), Lluxe Escapes is committed to providing reasonable accommodations to travelers with disabilities participating in our USA tours. Travelers who require the use of wheelchairs, walkers, or other mobility devices must inform us at the time of booking to ensure appropriate arrangements can be explored. While many of our tour destinations and transportation providers in the United States strive to be ADA-compliant, accessibility may vary depending on specific venues, transportation methods, and tour activities. We will make reasonable efforts to accommodate travelers with mobility devices; however, certain locations or excursions may present challenges that are beyond our control.

International Tours
Hotels, sea cruises, and river cruises outside of the United States are not required to comply with the Americans with Disabilities Act (ADA) and, as such, may not have ramps, wide entryways, elevators, or other accessibility features to accommodate disabled passengers or mobility devices such as wheelchairs, walkers, and motorized scooters. Due to physical constraints and space limitations, mobility devices may not be permitted aboard motor coaches, river cruises, or certain tour venues. Even when permitted, accessibility may be limited, and travelers should expect different standards compared to those in the United States.

Service Animal
Service animals cannot be accommodated on international escorted tours offered by Lluxe Escapes. Varying international regulations, airline restrictions, hotel policies, and logistical challenges make it difficult to ensure the necessary accommodations for service animals during international travel.

Airlines
Lluxe Escapes is not responsible for the services, policies, or operations of any airline. Airline schedules, flights, and routes are subject to change without notice, and Lluxe Escapes cannot be held liable for delays, cancellations, missed connections, or schedule adjustments imposed by the airline.
Travelers are responsible for complying with all airline policies, including but not limited to baggage restrictions, check-in times, and documentation requirements. Lluxe Escapes will not be responsible for additional costs incurred due to airline-related changes or disruptions.

Airlines Seat Arrangement
Airline seat assignments for group flights are solely determined by the airline and are beyond the control of Lluxe Escapes. While we will forward seating preferences when possible, we cannot guarantee specific seat assignments or seating arrangements for travelers on group flights.
All airline contracts arranged through Lluxe Escapes are for economy-class seats only, unless stated otherwise. Upgrades to premium economy, business class, or first class are subject to availability and must be requested directly with the airline. Any additional costs for upgrades are the responsibility of the traveler.

Contact Information
In compliance with TSA Secure Flight requirements, all passengers are responsible for providing LLuxe Escapes with the following information for travel bookings: Full name as it appears on the passenger’s passport or other government-issued identification, Date of birth, Gender, Address, Phone number, Email address, Fax number (if applicable). Passengers must ensure that the names provided match their identification and are correctly listed on all invoices and travel documents. LLuxe Escapes is not liable for passengers who do not receive invoices or travel documents, or who are denied boarding due to inaccurate or incomplete information provided.

Airline Name Changes
Airlines strictly regulate name changes and corrections. Lluxe Escapes requires passengers to provide their full name exactly as it appears on their passport or other government-issued identification at the time of booking. Any request for name changes or corrections after booking is subject to airline policies, availability, and applicable fees. Some airlines may not allow name changes, requiring a new ticket purchase at the current fare. Lluxe Escapes is not responsible for denied boarding, additional costs, or trip disruptions resulting from incorrect names provided by the passenger. It is the passenger’s responsibility to review and confirm that names are accurate on all travel documents and invoices.

Airline Taxes & Fuel Surcharges
Airline taxes and fuel surcharges are determined by the airlines and relevant governing authorities. These charges are subject to change without notice until tickets are fully paid and issued. LLuxe Escapes includes estimated taxes and fuel surcharges in the quoted airfare at the time of booking; however, final costs may vary. Passengers are responsible for any increase in taxes or surcharges imposed after booking but before ticket issuance. Lluxe Escapes is not liable for changes in airline taxes, fuel surcharges, or additional fees applied by the airline. We recommend early payment and ticketing to help secure current rates and avoid potential price increases.

Schedule Changes
Airlines may modify flight schedules, routes, or aircraft at their discretion. These changes can occur before or after ticket issuance and may include adjustments to departure times, arrivals, layovers, or cancellations. Lluxe Escapes will make reasonable efforts to notify passengers of any known schedule changes affecting their itinerary. However, it is the passenger’s responsibility to check their flight status with the airline prior to departure. Lluxe Escapes is not liable for costs or inconveniences resulting from airline schedule changes, including missed connections, additional transportation, accommodations, or other expenses. Passengers should review airline policies regarding schedule changes and consider travel insurance for added protection.

Hotel Accommodation
Lluxe Escapes strives to provide quality hotel accommodations as outlined in your itinerary. All accommodations are subject to availability at the time of booking and are provided based on double occupancy unless otherwise stated. Room types, bedding configurations, and special requests (such as early check-in, late check-out, or specific views) are subject to hotel availability and cannot be guaranteed. Hotels may require a credit card at check-in for incidental charges, which are the sole responsibility of the guest. Lluxe Escapes is not liable for any additional charges incurred during your stay. In the event of unforeseen circumstances or overbookings, hotels may be substituted with similar accommodations of equal or higher quality. Lluxe Escapes is not responsible for hotel policies, maintenance issues, or dissatisfaction with accommodations provided. Passengers are responsible for reviewing hotel policies, including cancellation terms, resort fees, and other charges not included in the travel package.

Hotel & Cruise Profile
Lluxe Escapes provides hotel and cruise profiles for informational purposes to assist passengers in selecting accommodations and cruise options. These profiles are based on information provided by hotels, cruise lines, and other third-party sources. While we strive to ensure accuracy, Lluxe Escapes does not guarantee that descriptions, amenities, services, or images will be exact or remain unchanged.
Amenities, room configurations, ship features, and services are subject to modification at the discretion of the hotel or cruise line without prior notice. Lluxe Escapes is not responsible for any discrepancies, changes, or the unavailability of advertised amenities or features during your stay or cruise.Passengers are encouraged to review the official websites of hotels and cruise lines for the most up-to-date information and to verify specific amenities or services important to their travel experience.

Meals
Meals are provided as specified in each itinerary and are typically based on the hotel's or restaurant's buffet or set menu. Unless otherwise stated, beverages are not included. Lluxe Escapes will make every reasonable effort to accommodate special dietary requests when submitted in writing at least four (4) weeks prior to departure. Requests should be sent to info@lluxeescapes.com. While we will do our best to accommodate these requests, Lluxe Escapes cannot guarantee that all dietary needs will be met. Passengers with severe allergies or specific dietary restrictions should take necessary precautions, as Lluxe Escapes is not liable for food preparation methods or cross-contamination.

Group Harmony
To ensure an enjoyable and respectful experience for all travelers, passengers are expected to conduct themselves in a considerate and cooperative manner throughout the trip. Lluxe Escapes reserves the right to remove any individual from a group or activity if their behavior is deemed disruptive, offensive, or detrimental to the group’s overall experience, the tour leader, or service providers. Passengers are responsible for respecting cultural norms, local laws, fellow travelers, and the guidelines set forth by Lluxe Escapes and its partners. No refunds will be issued for missed activities, accommodations, or transportation resulting from removal due to inappropriate behavior. By traveling with LLuxe Escapes, passengers agree to prioritize group harmony, ensure punctuality, and contribute to a positive group environment.

Cruise
Ship & Itinerary Changes:
Cruise lines reserve the right to modify ship assignments, itineraries, ports of call, and schedules without prior notice. Changes may occur due to weather conditions, mechanical issues, port restrictions, or other unforeseen circumstances beyond the control of Lluxe Escapes. We will make every effort to keep passengers informed of significant changes, we are not responsible for alterations made by the cruise line. No refunds or compensation will be provided for itinerary adjustments, ship substitutions, or missed ports beyond our control. Passengers are encouraged to review the cruise line’s terms and conditions for further details on potential itinerary changes.

Medical Services
Many cruise ships do not have a doctor or nurse onboard, and medical services may be limited or unavailable during certain portions of the trip. Passengers are responsible for managing their personal medical needs and bringing any necessary medications. In the event of a medical emergency, medical care may be provided at the nearest port or facility, which could involve additional costs, delays, or disruptions to the itinerary. All medical expenses incurred during the trip are the sole responsibility of the passenger. We strongly recommends that all travelers obtain comprehensive travel insurance that includes medical coverage and emergency evacuation. Passengers with pre-existing medical conditions should consult their physician before travel and inform Lluxe Escapes of any special requirements.

Health Requirements
Passengers are responsible for ensuring they meet all health requirements for travel, including vaccinations, medications, and any health-related entry regulations set by destinations or transportation providers. Lluxe Escapes strongly advises consulting with a healthcare provider well in advance of departure to receive the most current information regarding required and recommended immunizations, health precautions, and medical advice specific to your itinerary. Failure to meet health requirements may result in denied boarding, entry restrictions, or trip disruptions, for which Lluxe Escapes is not responsible. Passengers should also stay informed of any health advisories or travel restrictions issued by local and international health authorities.

Luggage (Airlines)
Airline luggage policies, including size, weight limits, and the number of bags allowed, vary by carrier and are subject to change without notice. Passengers are responsible for reviewing and adhering to the luggage restrictions set by their airline(s). Additional fees for checked baggage, overweight, or oversized luggage may apply and are the sole responsibility of the passenger. Lluxe Escapes is not liable for any costs, delays, or inconveniences resulting from luggage issues, including lost, damaged, or delayed baggage. Passengers should report any luggage discrepancies directly to the airline at the time of occurrence. For added protection, LLuxe Escapes recommends purchasing travel insurance that covers luggage loss or damage and packing essential items in carry-on bags.

Passenger Agreement:
All passengers traveling with Lluxe Escapes are required to complete a Passenger Agreement prior to travel. By signing and submitting the Passenger Agreement, passengers acknowledge that they have read, understood, and agree to be bound by Lluxe Escapes' Terms and Conditions. Failure to submit a completed Passenger Agreement may result in the cancellation of the booking without refund. The agreement ensures that all passengers are aware of their responsibilities and the policies governing their travel arrangements.

Release from Liability:
By booking and participating in travel arrangements with Lluxe Escapes, passengers acknowledge and agree that Lluxe Escapes acts solely as an agent for the suppliers of transportation, accommodations, meals, tours, and other travel services. Lluxe Escapes assumes no responsibility or liability for any injury, loss, damage, accident, delay, inconvenience, or other issues arising from acts, errors, or omissions of any third-party suppliers, including but not limited to airlines, hotels, cruise lines, transportation companies, and tour operators. Passengers release Lluxe Escapes, its employees, agents, and representatives from any and all liability for personal injury, property damage, or other losses sustained during travel, whether resulting from negligence, force majeure events (including weather, strikes, or acts of terrorism), or other circumstances beyond Lluxe Escapes' control. By participating in any travel services provided by Lluxe Escapes, passengers voluntarily assume all risks associated with their travel and agree to seek recourse directly with the appropriate service provider for any claims or disputes. Travel insurance is strongly recommended to help protect against unforeseen events or losses.

ASSUMPTION OF RISK:
I acknowledge that the travel I am undertaking with Lluxe Escapes involves inherently hazardous activities, which may carry risks of illness, injury, or death. These risks may arise from various factors, including but not limited to:

I understand that certain risks may be beyond the control of Lluxe Escapes and its representatives, and I voluntarily assume full responsibility for any consequences resulting from these risks. By participating in this travel experience, I acknowledge my awareness of the potential hazards and agree to hold Lluxe Escapes harmless from any claims, damages, or liabilities arising from my participation, except in cases of gross negligence or willful misconduct by Lluxe Escapes. I further acknowledge that it is my responsibility to take necessary precautions for my safety and well-being throughout the trip.

BINDING ARBITRATION

I agree that any dispute, claim, or controversy arising out of or relating to this Agreement, any promotional materials or brochures, or the trip itself shall be resolved exclusively through binding arbitration in accordance with the Federal Arbitration Act, 9 U.S.C. §§ 1-16. This includes, but is not limited to, claims regarding the interpretation, applicability, enforceability, or formation of this agreement. The arbitration shall be conducted by a neutral arbitrator and administered by a recognized arbitration organization. The arbitration proceedings will be held in a mutually agreed location or, if no agreement is reached, in the jurisdiction designated by Lluxe Escapes. By agreeing to this clause, I waive the right to bring claims in court, including the right to a jury trial, and understand that the arbitration process is final and binding with limited rights of appeal. This provision applies to all claims I may have against Lluxe Escapes, its affiliates, employees, agents, or third-party service providers.

Voluntary Participation
I acknowledge that I have voluntarily applied to participate in the trip designated on this application (or any trip to which I may later change). I confirm that I have read and understood the trip description as presented on the current Lluxe Escapes website, along with all information contained in this application. I am voluntarily participating in this trip with full knowledge of the potential hazards and risks involved, including but not limited to injury, illness, accidents, delays, or unforeseen circumstances beyond the control of Lluxe Escapes. I accept personal responsibility for my decision to participate and agree to assume all associated risks.

Knowing and Voluntary
By signing this agreement, I acknowledge that I have carefully read, fully understand, and agree to the terms and conditions set forth by Lluxe Escapes. I understand the legal consequences of this agreement, including the release of liability, assumption of risk, and binding arbitration provisions. I affirm that I am signing this agreement voluntarily and of my own free will, without coercion or undue influence. I acknowledge that I have had the opportunity to seek independent legal advice if desired and that I am aware of the rights I am waiving by executing this agreement.
